What do South African contractors actually pay?

The usual problem isn't the sticker price, it's the exchange rate plus per-user billing. A tool at 35 dollars a seat is a different proposition here than in the country it was priced for, and it gets worse as you add the site team. The person it prices out first is the one you needed most: the client or the architect who has to say yes, and who was never going to get a paid seat anyway.

How does the client sign off without logging in?

You upload the variation, the drawing or the quote to the job as a PDF and send one person a link. They open it on their phone with no account and nothing to install, read the file itself, leave a note or ask a question, and approve or decline with a drawn signature. If you asked for it, they enter a one-time code emailed to them first, which proves whoever signed had control of that inbox at that moment. It isn't an identity check.

What comes back is a record: dated, signed, pinned to the exact file they saw with its SHA-256 fingerprint, and kept on the job next to the site photos that justify it. A new revision supersedes the old one and the old approval stays on the record. Unanswered requests are chased from the same screen, so you stop spending evenings on WhatsApp asking whether they have looked at it yet.

One person approves one request. There's no chain of approvers and no handing a request to somebody else, and Word or Excel files need saving as PDF before they can be sent.

Does it comply with POPIA?

It's built around POPIA alongside UK and EU GDPR. Each organisation lives in its own isolated database space rather than as rows in a shared table, so one customer’s data is separated from another by the structure of the system rather than by a permission check.

There's a published privacy policy and data processing agreement covering both regimes, file paths are pseudonymised, consent is recorded with the text shown and the time, and there is a formal erasure-request workflow. Security events are logged with the IP and browser, kept for 90 days with critical events kept indefinitely.

The sign-off record follows the same rule. It names the email address the link went to, the time the answer was given, the network address it came from and the signature they drew, and it's stored on the job, not emailed around. The person who signed gave nothing but a name, a signature and, if you asked for it, a code from their inbox, so there is no account of theirs to protect and nothing collected that the job did not need.

Will it work with the connectivity we have?

Be careful here, because this is where it can fail for you. On site it runs in the phone browser, so a place with no signal means uploads and updates wait until there is some; a phone app exists and isn't yet in the app stores. Load-shedding affects your office connection more than the platform, which is hosted on AWS, but the practical effect on a laptop is the same.

The sign-off link is the least demanding part. The client opens one page on their phone, wherever they are, and it needs signal for the few seconds it takes to read, sign and submit. If your crews work in places with no coverage as a matter of routine, test the photo uploads during the trial before committing. If they have signal most of the time, a browser is fine and avoids app installs across a changing site team.

Photos taken with no signal stay on the phone until it has some, then upload from the browser in a batch. Nothing is lost, it's just late, and the activity trail records the upload time rather than the moment the photo was taken.

Sign-off from the people outside your business is the reason to start. Where is it the wrong answer?

There's no estimating, no bill of quantities, no job costing, no invoicing, no scheduling and no timesheets. If you need to price work and track cost against budget, use something built for that and run this alongside it for sign-off and the document side.

There's also no CIDB-specific tooling and no local accounting integration, and no public API to build one. The product is sector-neutral: it gets decisions out of the people outside your business and keeps the proof, and it isn't a South African compliance suite.

The signature has a limit too. When you ask for the code, the record proves that whoever signed had control of that email inbox at that moment. It doesn't prove who they are. A property transfer, a deed or anything else that needs proof of a person's identity needs a notary rather than us, and it's better to know that from this page than from a refund request.
