Buildertrend alternatives for UK builders

Before you shortlist anything, work out which half of Buildertrend you actually use. It bundles estimating, job costing and scheduling with client communication and document sharing, and most alternatives replace one half or the other rather than both. Firms who only ever used the client-facing side end up paying for a suite to get a portal.

What does Buildertrend actually do?

It is an all-in-one platform aimed at US residential builders and remodellers. The breadth is the point: pre-sale estimating and proposals, job costing against budget, scheduling, purchase orders and change orders, plus a customer portal, daily logs, photos and document storage.

That breadth is also why it is hard to compare like for like. A tool that replaces the estimating and costing side is a different product from one that replaces the client-facing side, and both get called a Buildertrend alternative.

Why do UK firms look for an alternative?

Three reasons come up repeatedly. It was built for the US residential market, so UK-specific things like CIS deductions and CSCS card tracking are not built in. Pricing moved toward custom quotes during 2026, which makes it harder to work out whether you are even in the right range without a sales call. And for a firm that mainly wanted the client portal and the document sharing, the full suite is a lot of product to carry.

Worth being straight about the CIS point, because it cuts both ways: Portal Worx does not handle CIS or CSCS either. If those are on your list, neither of us solves it and you should be looking at UK accounting or workforce tooling for that part.

What should you check before switching?

The trap is replacing a suite with a suite when you only used a third of it, or replacing it with a point tool and discovering six months later that the estimating you forgot about is now a spreadsheet again. Write down what you opened last week, not what you bought.

  • Which parts did anyone actually open in the last month?
  • Do clients and collaborators count as billable users on the new tool?
  • Is the price published, or does it need a call?
  • Can you get your documents and photos out if you leave?
  • Does it need to work offline on site, or is browser access enough?

Where does Portal Worx fit?

It replaces the client-facing half and nothing else. Documents and drawings filed against the job, site photos in folders, client-ready reports that export to a logo-stamped PDF, threaded messaging where being in the thread is what grants access, and a year-long activity trail. Your client logs in and sees their own job without ringing you.

The pricing is the other difference. £29, £59 or £99 a month with unlimited users on every plan, published on the site, no quote required. Your office, your site team, your clients and your collaborators all cost the same as one person, so nobody gets left off the system to keep the bill down.

Where is Portal Worx the wrong answer?

If you use Buildertrend for estimating, proposals, job costing, purchase orders, change orders or scheduling, Portal Worx replaces none of that. There is no estimating, no takeoff, no costing, no invoicing, no Gantt, no task lists and no timesheets. Switching to it for those reasons would be a mistake and an avoidable one.

There is also no native mobile app and no offline mode. It runs in a phone browser, which is fine on site with signal and useless without it. If that is your situation, test it before you commit rather than after.

Plenty of firms end up running a costing or accounting package for the money side and Portal Worx for the client side, which is usually cheaper than one suite that does both adequately.

How do you compare the shortlist fairly?

Price the whole crew, not one seat. A per-user tool at £35 looks cheaper than a flat £59 until you count ten people, and it stops looking cheaper the moment clients and everyone else on the job are billable too.

Then run one real job through each finalist during the trial. Not a demo project: an actual job with real drawings, real photos and one real client invited. Most tools survive a demo. Fewer survive a week of the actual work.

Common questions

Is Portal Worx a direct Buildertrend replacement?
No. It replaces the client-facing half: documents, site photos, reports, messaging and the activity trail. It has no estimating, job costing, scheduling, purchase orders or invoicing.
Does Portal Worx handle CIS or CSCS?
No. Neither CIS deductions nor CSCS card tracking are built in. If those matter, look at UK accounting or workforce tooling for that part of the job.
How does the pricing compare?
Portal Worx publishes its prices: £29, £59 or £99 a month with unlimited users on every plan and 20 per cent off annually. Several tools in this category moved to custom quotes during 2026, so direct comparison often needs a sales call.
Do clients and collaborators cost extra?
Not on Portal Worx. Every plan includes unlimited users covering your team, your clients and your collaborators. Check this specifically on any per-seat tool, because it changes the total more than the headline rate.
Can I run both?
Yes, and plenty of firms do. Keeping a costing or accounting package for the money side and using Portal Worx for the client side is often cheaper than one suite that does both adequately.
